Three major reasons companies should insist on data visibility in their tenant

In the last year, we’ve spoken to hundreds of companies to find out their primary challenges in managing their M365 tenant. Answers differed by industry and organizational structure, but two main challenges arose as primary concerns according to IT admins and business leaders. Data visibility and resilience to security incidents.

Lack of visibility in an M365 environment causes serious risks and organizational inefficiencies. Companies should insist on a comprehensive overview of tenant resources for three major reasons.

Suppose an organization does not control the data life cycle in its entirety. In that case, it may lose business critical certifications such as SOC and ISO and could receive huge fines on top of that. Even if the organization manages to attain certifications, cybersecurity questions remain; do you know who is sharing your sensitive information? What do external collaborators actually see and do with the data? 

The second reason, that will make your CFO especially unhappy, is unnecessary costs. Failing to centralize the data from various admin centers causes intensive workspace sprawl, which increases storage costs and impedes business efficiency. If your data is spread over the tenant without rhyme or reason, the ability to navigate that environment becomes a nuisance with a potential for disaster.

The third reason is IT admin work overload. Due to incomplete visibility in the tenant, IT admins get thousands of tickets. Resolving them often includes manual tasks and double-checking with resource owners or managers. A potential solution is automating specific actions by writing PowerShell scripts, which requires in-depth knowledge. Still, you’ll need to write a particular script for every task, which can be time-consuming, prone to errors, and, in the end, inefficient.
